Depending on how you interact with us, this may include your name, email address, contact details, date of birth, event selection, booking and payment reference, emergency contact, race participation and results, correspondence, and information required to arrange requested accessibility or welfare support. We may also collect website usage information using cookies or related technology.

Payment card details are handled by Stripe, rather than being stored by us, if that accurately describes your setup.

3. Why we use your information

We use information to administer bookings, deliver the event, contact entrants with important instructions, operate a safe event, record and publish appropriate results, respond to questions, meet legal or accounting obligations and, where lawful, send optional updates about future events.

4. Lawful bases

We rely on the appropriate UK GDPR lawful basis for each processing purpose. These may include performance of a contract, compliance with legal obligations, legitimate interests and consent.

Where a participant chooses to disclose health-related, pregnancy or other special-category information, we will identify an appropriate UK GDPR Article 9 condition, limit access and retain it only for as long as necessary.

5. Who receives information

Information may be shared, only where necessary, with Eventrac, Squarespace, Stripe, Runner Beam, TrailMed and event staff, and providers of email or administrative services. We do not sell personal data.

6. Results, photography and publicity

We may publish runners' names and completed yard totals, with category information where applicable. Please contact us if you have safety or privacy concerns about publishing your name. Images are covered by our Photography and Filming Policy. We will explain any official results-reporting requirements.

7. Marketing

Marketing emails will be sent only where a lawful basis exists. Where we rely on consent, it will be optional and separate from race terms, and you can withdraw it using the unsubscribe link or by contacting us. Necessary information about an event you entered is not marketing.

8. How long information is kept

We retain data only as long as needed for the stated purposes, legal obligations, dispute resolution and appropriate results records. [

We use proportionate security measures and restrict staff access where practical.

10. Your rights

Subject to the relevant conditions, you may have the right to access your data, ask for correction or erasure, restrict or object to processing, or request portability.
